Terms and Conditions 

1. General 

   1.1. These Terms and Conditions apply to your participation at the 2026 New Zealand Symposium (“NZ Symposium”) only.

   1.2. These Terms and Conditions may be amended periodically, and you will be deemed to have accepted any amendments if you register for the NZ Symposium after those amendments have been posted. 

   1.3. “Engagement Institute”, “we” or “us” means Engagement Institute. 

   1.4. Fields on the Registration Form marked with an asterisk must be completed with the relevant details. 

2. Contract and price 

   2.1. All prices are in New Zealand dollars and inclusive of GST, unless otherwise indicated. 

   2.2. Discounted prices are only available to Members of Engagement Institute. 

   2.3. The description of the NZ Symposium, or of any of the events forming part of the NZ Symposium, and prices, may be subject to change or correction at any time without notice.  Although we seek to ensure information is correct, we make no representation or warranty as to information being accurate or complete.  If we discover an error, we will try to notify you as soon as possible and allow you to cancel your order and obtain a refund if desired. 

   2.4. By completing and submitting a Registration Form you warrant that: 

          - you are capable of entering into a legally binding contract with Engagement Institute, 

          - you are authorised and able to make payment via the method you have chosen, 

          - the information you have provided is correct, and 

          - your purchase is not made for the purpose of commercial resale. 

   2.5. A contract for purchase is only formed once we have accepted an order by issuing an email confirmation. 

3. Payment method 

   3.1. Full payment must be received in order to be considered registered for the NZ Symposium. Payment will be taken prior to the NZ Symposium. 

   3.2. Payment should be made online with valid credit cards (Visa, Mastercard, American Express). 

4. Accommodation 

The Engagement Institute has no involvement in the booking or payment process for any accommodation required for attendance at the NZ Symposium, and we take no responsibility for the reservations of any such accommodation. Reservations should be made directly with hotels or other providers. Delegates are advised to make reservations as early as possible. Engagement Institute may suggest nearby hotels for delegates, and in some cases, hotels may offer discounted rates for our guests. However, delegates are responsible for confirming and securing their own bookings directly with the hotels.

5. Refund / cancellation / no shows policy 

   5.1. If you wish to cancel your place, you must notify Engagement Institute in writing to events@engagementinstitute.org.au 

   5.2. The following terms will apply to any notice of cancellation of attendance at the NZ Symposium received by Engagement Institute: 

          - Up to 31 January 2026: 70% of the full registration fee will be refunded 

          - From 1 February 2026: 50% of the full registration fee will be refunded 

          - From 3 March 2026: no refund available, substitution only 

   5.3. Should you have difficulties in obtaining your visa and are not able to attend the Conference this cancellation policy still applies. 

6. Warranties and liabilities 

   6.1. Engagement Institute excludes any condition or warranty, unless it is expressly set out in these Terms and Conditions or is by law incapable of exclusion, restriction or modification. 

   6.2. Engagement Institute will under no circumstances be liable for any indirect, incidental or consequential loss or damage arising in relation to any transaction entered into, or any registration or goods or services purchased. 

7. Event recording 

   7.1. By registering for the NZ Symposium, you authorise Engagement Institute to record the NZ Symposium (which includes any questions or comments by any participant or audience member) in audio or visual format or both. 

   7.2. You also agree that Engagement Institute is the owner of the copyright and other intellectual property in that recording and that Engagement Institute may use the recording for any purpose it considers and agrees is appropriate, including publicity, education or other activities and may earn income for its own benefit, and you waive any moral rights you may have. 

   7.3. Engagement Institute is not obliged to exercise the right to make any recording. 

8. Photography 

By attending the NZ Symposium, you acknowledge that your photo might be taken, and you consent to the taking and use (including in any publication or production) of any such photo by us in whole or in part, and in conjunction with any words or drawings, in electronic or print form. 

Delegates and speakers are prohibited from photographing and / or recording the sessions for commercial use. 

9. Law 

These Terms and Conditions are governed by the laws of Queensland.  The parties irrevocably submit to the exclusive jurisdiction of the courts of Queensland. 

10. Force majeure 

Neither Engagement Institute nor the NZ Symposium shall be liable for delay or failure to organise the Symposium if such delay is due to fire, typhoon, cyclone, earthquake, flood, strike, labour dispute, war, government order, riot, revolution, pandemic or any other cause beyond their reasonable control. 

11. Event Modifications

Engagement Institute reserves the right to modify the NZ Symposium programme, including speakers, sessions, venue, and schedule, at any time without prior notice. In the event of significant changes, registered participants will be notified promptly. Please note that Engagement Institute is not liable for any resulting inconvenience or consequential loss due to such modifications.

12. Privacy and Data Protection

By registering, you consent to the collection, use, and processing of your personal data for event management, including sharing information with event partners, sponsors, and the event app. Your details will be shared with sponsors (name, title, organisation), and displayed on the app where you can manage your preferences.
